MIT Libraries Undergraduate User Group

Undergraduate User Group minutes: 8/24/00

Present: M. dePopolo (minutes), T. Gabridge, M. Leininger (facilitator), I. Mazor, C. Sherratt

1. Early Decisions
At the first meeting of the Undergraduate User Group, we decided:

--Meetings will be twice monthly (at the outset) on Thursdays from 3:15 to 4:30. (Later changed to Thursday 12:30-1:30)
--The next meeting will be on September 14th, at a central location to be announced.
--Recording of minutes will rotate alphabetically.

2. Reasons for joining the UUG included wanting to do more for the undergraduates, enjoying their youth and fresh attitudes, the sense that they need attention from the Libraries, one's own experience with family undergraduates, numbers of undergraduates in the sciences and engineering, their importance to MIT as future alumni/ae, and learning and communicating about MIT and the Libraries from an undergraduate's perspective.

3. DePopolo reported that the question of library open hours had been referred to the UUG by PSMC.

4. Leininger undertook to lead the group in setting its ground rules and thinking through its mission. De Popolo and Gabridge will draft a mission statement based on ideas from the brainstorming for consideration at the next meeting.
-- Ground rules will be circulated to group members for review.

5. Decision-making options were discussed. The group preferred to operate by consensus. If consensus were not to be possible, a range of options for arriving at a decision would be used, such as the chair's making an informed decision, forming an ad hoc decision group, voting, using evaluation techniques, and using a facilitator.

4. Agenda for Next Meeting
--Review of ground rules and draft mission statement.
--Goals brainstorming and priorities.
--Sources of data about undergraduates.
--Future agenda:
--Open hours
