Meeting Minutes

Present: Jim Eggleston, Michael Finigan (minutes), Jonah Jenkins, Nora Murphy, Mary Pensyl, Megan Sniffin-Marinoff, Caleb Tucker-Raymond (IMPS facilitator)

I. Group Goals

Caleb facilitated the group in a discussion of our goals. A prime goal is to more precisely define our user group; "administrative" staff is a more amorphous collection of individuals than those represented by other User Groups. A suggested approach was to survey library staff to discover both what they wish to know about MIT's administrative staff and what they want the administrative staff to know about the Libraries, plus a survey of the administrative staff to discover what they feel they need to know about the Libraries. This would create a two-way understanding between the Libraries and the MIT administrative staff. Further discussion elicited more concrete goals:
identify our user community
establish and maintain a web site
advocate for improved communication with MIT's administrative groups
identify key issues and target problems
evaluate our goals periodically (or will this be done for us by the Committee Review Board?)

II. Future Meetings

A high priority for the group is tapping Sheelah Britt's institutional memory on the MIT Administration. Both Sheelah's length of service with the Libraries and her position have put her in contact with a number of campus administrative offices and her experience can be instrumental in helping us define our user community. Megan will contact Sheelah about attending our next meeting (Sheelah has since agreed to meet with the group on June 6 at 2 PM).

Topics mentioned for future meetings include meeting with Ruth Seidman to let us know what the group can do to help her with her job; a report from Keith Glavash on thesis issues and other Document Services interactions with the Administration; an info session from Archives on their interactions with Administrative Offices; input from Ann Wolpert; and input from the new Development Officer.

III. Web Update

Jim and Jonah volunteered to be the group's "web committee". To facilitate the posting of minutes on the web site, it was agreed the minute taker will send minutes to the group list as an attachment. It was also decided that the agenda will be posted on the web site at least one week before the next meeting.

IV. Meeting Dates

Wednesday at 2 PM seems to work for all members as a meeting time, so the group will aim in general for this time slot for future meetings.
