Details Conference

A process for nailing down and recording the details of capital equipment requests.

Function:

To get STS staff together with those who will be using new equipment, to make sure we are all "on the same page."

This “Details Conference” process is meant to help us define, and then write down, the details of what will be installed and how it will be managed over time.

By asking the Consultants to write these details documents, we will make sure they are engaged, and understand:

  • what equipment is going where
  • why it is being installed
  • who is responsible for it, and
  • what the limits of their own support will be.

Participants:

  • Proposed Agent
  • LTE
  • Consultant
  • Head of STS (optional)

Outcome:

A brief details document including...

  • goals of installation
  • name of agent (person who will most directly use and manage the equipment)
  • clear specifications of equipment
  • statement of STS support and department responsibility
  • timeline

Signoff:

  • Head of STS (if not a participant)
  • Department Head

Process:

  • meeting of participants
    • proposed agent describes project
    • participants ask questions to clarify, for example:
      • will equipment be shared?
      • what kind of net access is needed?
      • are there ongoing costs and who will cover them?
      • what level of support will be required?
      • what benefit do we expect to derive from this installation?
    • determine final equipment specifications
    • discuss timeline
  • consultant drafts the details document (see outcomes above)
    • circulates draft to other participants for refinement
  • consultant passes final details document on for signoff
  • implementation of timeline begins
