Staff web guidelines

  1. Every site on the staff web must contain the name of the group or  person responsible for it.
  2. Pages should have a "last updated" statement. For example:
                    This page was last updated on 07/06/04

    An ideal place for the owner and date is near the bottom of the page in small print.

    It's possible to set up a server-side-include that will display this automatically. To do this, insert the following code in your HTML:
    <!--#config timefmt="%D" --> This page was last updated on <!--#echo var="LAST_MODIFIED" -->
  3. All pages should be kept up to date with current and accurate information. If a web site is owned by a committee that is disbanding or a person who can no longer maintain it, arrangements should be made for the ownership to change hands, or for the site to be  deleted.  The new "owner" needs to be identified on the page itself.
  4. If pages are found to contain erroneous information, the maintainers will be notified and asked to make the necessary corrections.
  5. If a site is made for a committee or project that has a definite ending point, a decision should be made about what to do with the site once the project is over. Choices might be:

    a) Keep the site live as a record of past work indefinitely (clearly marked as such).

    b) Keep the site live for a predefined period after the project ends (such as one year), then delete it.

    c) Delete the site when the project ends.
  6. When a new page or site is created, please notify the maintainer  of the staff web home page, so links can be made to it. Use the Site Request form.
  7. Remember that the staff web is open to the world and the pages will appear in search engine results. Because of that, be aware that your pages may be read by anyone.

    Using that method, it is possible to restrict pages to specific groups within MIT, by email list, such as "all-lib@mit.edu."
