Transfers:

Between Libraries and to Library Storage Annex

The act of permanently transferring a volume or set of volumes from one library to another.

Transfers between Divisional and Branch Libraries

Sending Library:

When you know the other library wants the item(s):

  • There are no changes that have to be done to the record by the sending library. It is up to the receiving library to update all of the records.
  • You may wish to place an internal note that explains where/why you are sending the item, but this is optional.

When you are unsure if the other library wants the item(s):

  • The best practice is to contact the other library and see if they want the item(s) before sending them anything. You can do this by contacting someone in the other library's processing unit or that library's collection manager.

Receiving Library:

  • The receiving library is responsible for all of the changes to the record that will reflect the item(s) new home. This includes changing the library code from the old library to the new library and making any relevant collection or circulation changes. Please see Permanent Location Changes procedure for details.
  • You must also cross out the stamp on the top of the book, which identifies the owning library, and restamp with your library's name.

Transfers to Library Storage Annex

When transferring items to the Annex, the sending library is responsible for all of the record changes, as opposed to the above procedure. Please see the Storage Guide for detailed instructions.
