Temporary Locations

I. Definition: Allows user to put a piece in a collection other than the one specified in the Holdings statement. The check box is located on the first tab, General Information, of each item form, accessible in the Items and Serials modules.

II. Uses:

a. This is a useful option when you have a retention statement similar to: “Latest year on Reference, earlier in Stacks.” In this instance, the Temporary Location feature can be used instead of an additional holdings record. By not creating an additional holdings record, you can save time and confusion when moving items from the temporary location to the permanent location.

b. Sometimes, a book from one library is placed on Reserve at another library. The Temporary Location option makes this move very simple. After applying the Temporary Location check box, the OPAC will indicate that the item can be found at Rotch Reserves, even though the holdings indicate that it actually belongs to Barker. Just as easily, the checkmark can be removed, effectively returning it to the owning library.

III. Directions:

a. To use the Temporary Location option, enter a new Collection into the Collection field.

b. Enter a checkmark in the empty Temporary Location box, and click Update. This step ensures that the new Collection will remain until you remove it. The last column in the Items window in the Serials module will display a checkmark if the item has a Temporary location.

c. To remove the temporary location and revert to the original Collection location, simply open the item record, uncheck the Temporary Location box, and update the item.

d. If you are giving the same temporary location to multiple items, you can accomplish this most easily in the Items module. Highlight one of the items and click on the Bind/Changes button. A window that looks like this will appear:

From the left-hand list, select all of the items you wish to move and click the right arrow (located between the two windows). This will move all of the items into the right-hand window.


Once all of the items appear on the right-hand list, highlight all and select Changes. A form will appear that looks like this:

e. If you wish to remove the Temporary Location status, place an “N” in the “Temp Location” option at the bottom of the list and click OK. This will perform a mass item change that will only affect the Temporary Location check box.
f. If you wish to add a Temporary Location status, place a “Y” in the “Temp Location” option and enter the new collection code in the “Collection” field. After you have made these changes, click OK.
