Deleting Holdings Records

This procedure applies to monographs, serials and journals, in all formats. However, deleting holdings records is needed most often for serials and journals.

Local processing staff can NOT delete a holdings record. Yes, you can create and edit them, but not delete them. If you need to have a holdings record deleted, please send a screen print of the record - clearly indicating which holdings record needs to be deleted - to Serials Cataloging (14E-210A). Make sure that there are no more items linked to the holdings record you are asking to be deleted.

When do you need to delete holdings records?

- You have finally moved all items of a title to LSA and don't have any more items in your local unit.
- The items of a title used to be split between two collections in your unit, but are now being consolidated in one collection.
- Barker and Dewey used to have copies of a working paper in their stacks collections, but decide to consolidate the holdings in one library. Barker sends all of their items to Dewey.
- During the migration from Advance to Aleph, additional holdings records were created for Humanities and Science, and you just want them to go away.
