Our Charter
Philosophy:
Communications
- will be timely and regular.
- will contain as much information as possible.
- will go out to as many staff as necessary; when in doubt send to
all-lib.
We will foster at least two way communication:
- by sharing information with the MIT Libraries community, including
users.
- by encouraging the MIT Libraries community, including users, to
share
with us.
- by encouraging the MIT Libraries community, especially groups
involved
with Implementation, to share information with each other.
We will use electronic and face-to-face communication.
The communications sub-group will function as editors, not
writers.
The entire group is responsible for communication.
Plan:
At least three people within the Implementation Team should be in the
Communications Sub-group. This group has responsibility for:
- maintenance of web site
- editing and sending a regular email newsletter
- organizing town meetings
- responding to communication issues as needed
Each Implementation sub-group will appoint a communications link who
w ill be
responsible for writing articles for the newsletter, passing on
documents
for the web page, and any other communications with the
Comm. Sub-group.
Web site contents:
- list of members and contacts
- master timeline for all implementation efforts
- as much documentation as possible including newsletter
- anonymous form
- sent to imps
- archived on web page
- response if necessary posted in a timely fashion
- sub-groups, their goals/membership, and timeline
- guidelines for submitting documents
Bi-weekly newsletter:
- special editions as necessary
- communications sub-group will share responsibility for editing
newsletter
- parts of newsletter to be written by others; the communications
group
will edit as needed
- newsletter will be sent to imps and any others for comment before
it is
sent on to all-lib
Face-to-face gatherings:
- send Imps members to groups/units to discuss changes and
implementation
- hold all staff town meetings for landmarks
- encourage staff to talk to individual team members
- communications sub-group responsible for organizing larger
meetings
