ILLiad Staff FAQ

1. When will we start using ILLiad?

1. When will we start using ILLiad?

Starting next Monday, February 6, the ILLiad web pages will be live for the MIT community to use in making ILB requests.

ILB Policies remain the same:

  • ILB service is still limited to MIT Only. This means current Faculty, Staff, and Students
  • Policies can be found on the ILB home page: http://libraries.mit.edu/ilb
  • Interlibrary Borrowing service is free for members of the MIT community in support of MIT related work and research

2. Will the old ILB forms still be available?

No.The current ILB request forms for articles and loans will be replaced by the ILLiad request forms. All new requests must be made via ILLiad. Users will be redirected to ILLiad from the old ILB request forms.

The ILB home page: http://libraries.mit.edu/ilb will be adjusted accordingly.

3. Will there be a shortcut URL for ILLiad?

The shortcut URL for ILLiad will be: http://libraries.mit.edu/illiad

4. What's the user registration process like?

Users must register the first time they make an ILLiad request. The registration is fast, and users are asked for the same info we require them to supply each time they make an ILB request. Users are asked for two pieces of new information:

  • Selecting a pickup location for book delivery (Hayden or Dewey)
  • Selecting a user name and password combination

5. What about the usernames and passwords?

  • The ILLiad web pages are protected by SSL. You'll see https at the beginning of all of the ILLiad page URL's.
  • Since the ILLiad server is hosted off of the MIT campus, we are telling users during the registration process not to use their Athena/Kerberos password with ILLiad
  • It is okay for users to use their Athena/Kerberos user name with ILLiad
  • The ILLiad user accounts are completely separate from Your Account in Barton.
  • What if a user forgets her password?

6. How can users find out about the status of their requests?

  • Users can see the requests that they've made by selecting "View/Modify Outstanding Requests" from the ILLiad Main Menu.
    • Users will no longer receive an email confirmation each time they make a request.
    • A message will appear on the the ILLiad Main Menu indicating that the request was received and the transaction number associated with the request.
  • An explanation each ILLiad status is available in the ILLiad Glossary, https://mit.hosts.atlas-sys.com/illiad/glossary.html.
  • If a user has a question about the status of their request, please direct them to the ILB Status Request form http://libraries.mit.edu/ilb-status, accessible from the ILB home page, as well as ILLiad.
  • If a user has forgotten her password and can't access their list of requests, Library staff can still help them see the status of their requests by accessing WorldCat Resource Sharing (instructions).

7. How can users request renewals of ILB materials that they've borrowed?

  • The Renewal Request form http://libraries.mit.edu/ilb-renewal will still remain linked form the ILB home page.
  • Renewals for materials requested from ILB prior to February 6 can be made through the ILB Renewal Request Form.
  • Materials requested after February 6 through ILLiad will show up in each users' "View/Renew Checked Out Items" page, accessible from the ILLiad main menu.
  • We will leave the Renewal Request form online until all of the old requests have been completed, and let users know that they can renew through ILLiad in the future.
  • ILB materials cannot be renewed through Your Account in Barton. (this is not new)

8. Where can ILB materials be picked up?

  • Items requested through ILLiad can be picked up at Dewey Library, in addition to Hayden
  • Users are asked to select a pickup location during registration.
  • The pickup location can be changed at any time by going into ILLiad, and selecting "Change User Info" from the main menu.
  • Changing this location will change the pickup place for all items.
  • Additional library pickup locations will be added through out the semester, eventually to include Aero/Astro, Barker, Lindgren, and Rotch libraries.
  • All articles will be delivered electronically to the user as a PDF, these articles can be picked up through ILLiad. ED/Web-Docs will be phased out for ILB.
9. What if a user forgets her password?
  • If a user forgets his or her ILLiad password, they should send an email to ilb-lib@mit.edu to have the password re-set, or phone 617-253-5668 during the 9-5, M-F staff hours.
  • Library staff can still help them see the status of their requests by accessing WorldCat Resource Sharing.(instructions)

10. Will WorldCat Resource Sharing and Clio still provide information to staff?

  • WorldCat Resource Sharing http://firstsearch.oclc.org/ will provide less detailed information, but should indicate if another library has said yes to the request or is in the process of shipping the item to MIT.
  • Instructions for using World Cat Resource Sharing to track ILB requests are available on the Staff Web http://libstaff.mit.edu/docs/ilb-worldcat.html
  • Clio will no longer be updated.
  • In ILLiad, a user must enter her ILLiad user name and password in order to access the list of current requests and to download electronic articles.
  • There is no generic library user that can see all requests through the ILLiad web pages.

11. Requesting from First Search Databases via SFX

  • The ILL button and the "Borrow this Item from another library" links in First Search databases http://libraries.mit.edu/provider/firstsearch will no longer show after February 6.
  • Instead, users can click the SFX link, and in cases where we do not own the item electronically, users will see a link in the SFX menu that says:
    "Interlibrary Borrowing: If not owned by MIT, request via ILLiad"
  • After clicking this link, the user is asked to enter their ILLiad user name/ password, and then the citation will automatically be filled into the appropriate book or article request form.
  • If a user doesn't have an ILLiad account yet, they can register, and then select the Request an Article or Request a Book form from the ILLiad Main Menu. The citation will be pasted into the request form.
  • We hope to expand the SFX requesting options to additional electronic resources at a later time.
