SCHEDULING A RECORDING
To schedule a recording, we ask that you book as early as possible so that the event can be scheduled in the AMPS calendar.
Before booking:
- When reserving the DIRC, add 15 minutes before and after your session to allow for set up time. Add VIDEO to the title of your session in the DIRC to aid in keeping track of which sessions were recorded.
- Determine who will be paying for the recording.
Guidelines for Funding Video Capture in the DIRC
Using the video capture system in the DIRC is fee-based. The minimum cost is $60. This will cover up to 75 minutes of capture. Funding, subject to the following criteria and availability, can be requested from the Associate Director of Public Services (ADPS):
- Primary audience focus is students; requests for sessions aimed at faculty, postdocs, and/or researchers will be considered.
- Content of the session is expected to be "current" for a minimum of a semester.
- Faculty has requested a session be video captured for students.
Funding is limited to $60/session. Requests should be made to the ADPS at least one week prior to the scheduled session. Departments may fund video capture of sessions not meeting these criteria or not supported by the ADPS.
Book the recording:
- Email the Distance Education Acquisition & Delivery email address at dead@mit.edu.
OR
- Call Christian Franco, the Streaming Media Assistant at x3-9366.
Provide the following information when scheduling your recording:
- Name of presenter
- Name of lecture or class
- Date of presentation
- Start Time
- End Time
- Name and email of the person who can post the link to the Libraries web page (if different than the presenter)
- Account number for payment:
- If funded by the ADPS based on the guidelines listed above, indicate to AMPS to use the “standard library account” and this has been approved
- If not, provide AMPS with the appropriate account number for billing
A confirmation email will be sent once your session is booked with AMPS.

HOW TO SET UP FOR A RECORDING SESSION
PLEASE TEST THE AUDIO AND VIDEO AT LEAST 15 MINUTES BEFORE RECORDING IS SCHEDULED TO BEGIN.
Audio set up
You will need to use a microphone for audio to be captured in the DIRC.
- Use the wireless lapel mic found in the drawer of the instructor’s podium. Follow the instructions for using the mic found on the DIRC web page (Turn on both the amplifier and mic). For optimal recording, place the mic on your shirt a hands length from your mouth. No additional steps are required. You may turn down the mic audio so it does not go through the speakers. This will not affect the recording.
Camera set up
The camera in the back of the room has several presets. We have set the default setting to be a close up at the lectern. Check or change the setting of the camera by following these instructions:
- In the Instructor’s station drawer is a black Sony remote. This is the remote for the CAMERA.
- We have set up the projector so that you can switch it to the video input and see the image that the camera is capturing. This will allow you to see what is currently set and to monitor the setting for recording. To see what the video will capture, use the PROJECTOR REMOTE and press Video.
- You should now see what the room camera is capturing projected on the screen. If the view is what you would like to capture, use the PROJECTOR REMOTE and press RGB to switch back to the computer display. Note: the default capture is a close up of the instructors station
- If you would like to select a different view to capture, take the CAMERA REMOTE to the back of the room to be closer to the camera (go as close to the camera as possible, perhaps even under it near the bulletin board). Aim the remote at the camera. Press the round number in the center of the remote, corresponding to the view you would like:
- Close up of the lectern (Default setting).
- Medium view of the lectern and the front of the room, but without the projection screen.
- Wide Shot that includes the projected image.
Please note that the camera is set to auto iris, and will react to the lighting environment in the room.

SESSION RECORDING
Now that you have booked the recording and checked the camera capture view, you are now ready to teach!
- Arrive early to your session to test the audio and set up.
- Turn the instructor’s computer on as soon as possible so it can warm up before your session.
- When you have turned on the mic, call AMPS at 452-2169 to test the audio.
- Recording will begin 5 minutes prior to the start time you’ve requested. This allows AMPS to have the encoders recording before your session starts. We will be able to edit the beginning of the session so that it starts when you begin your presentation.
TIPS FOR TEACHING WHILE BEING RECORDED
- Repeat any questions that are asked during your session (the mic will not pick up any voices other than the instructor)
- Look toward the back of the room on occasion, as if you are checking the clock or looking at the bulletin board. This will appear as if you are making eye contact with anyone watching the video.
- Think about what you will wear prior to the session. There is poor light and a white background in the DIRC. Bright colors such as blue or green capture nicely.
ENDING THE SESSION
At the time of booking a recording, we will ask you to do what you would normally do when finishing a session in the DIRC – to shut off the microphone, amplifiers and projector when you leave. Once we have processed your session we will contact you (or the designated person) regarding the files – turn around time 3-5 days.
