SFX
Reports: How DigAcq Processes the SFX Reports
SERCAT...
- receives
a list of new titles added to existing and new targets from SFX each
month.
- sorts
through the list, removing titles from targets we do not subscribe
to and those in aggregator databases we do not catalog individually.
- checks
Barton and VERA to see if a record for the title exists in either
or both databases.
- If
a record exists, SERCAT activates the title within a specific
target so that it results in a link to full text when a patron
sees the SFX button for a citation. These titles are listed as
"OK" in the Notes field of the SFX report.
- If
a record for a title does not exist in Barton or Vera, SERCAT
notes the status of the title (current or dead print, not in Barton
at all, subscribe via another target).
Digital
Resources (EJ TEAM) receives the list of titles from SERCAT. The
list includes:
- titles
not found in Barton or VERA (primarily)
- titles
that may be represented in either Barton or VERA, but not both
- titles
that have newly been activated by SERCAT and are indicated with an
"OK" in the Notes field of the SFX report (these titles
may be disregarded as they have already been confirmed and activated
within SFX).
Situations
1 and 2 will need further investigation.
By performing
a title search within the commitments database, and keeping in mind
the Target listed in the SFX report, Digital Resources needs to answer
the following questions:
- If
a [WEB ACCESS] record exists for a given title in commitments, is
this title also represented in VERA? Is the publisher information
accurate in VERA and Commitments? If different, be sure you have chosen
the correct record(s) and update any publisher information when necessary.
- Should
MIT have access to a title within a package? This can be confirmed
by referring to the Target for a given title on the SFX report and
investigating the corresponding package level record in VERA. To confirm
if a title could be activated, check the Acquisitions Details field
in the VERA record (examples of Targets/packages: Blackwell, JSTOR,
ACM).
- Does
a print record exist for this title/publisher (target)? If so, should
MIT have access to online content based on a print subscription to
a given title? If online access comes free with a print subscription,
this title should be represented in VERA.
How to
find out if online access comes free with a print subscripton? You can
check Ulrichs: http://libraries.mit.edu/get/ulrichs/
to see if a link exists to electronic format of a title and then look
for subscription info at the title's website. If the vendor is SBNJ
or SBUK, you can also check Dataswets
Connect: http://www.dataswetsconnect.com/ using our password and
the MIT PO to search for subscription info. Often there is an indicator
as to whether we have free internet access or this is an additional
charge. Contact the publisher directly and query. If possible, include
any payment information or publisher reference numbers.
If
a given title is not found when searching Commitments and is not eligible
for access via a package deal or print subscription, no further action
is required.
If
a title is added to VERA based on info from an SFX report, it should
be noted: "per sfx report" in License Notes of the VERA record.
Titles added to VERA per SFX reports are reported out to SERCAT in a
"new ejournals in VERA [date]" email. Digital Resources also
generates monthly reports upon request (from SERCAT) to indicate new
electronic journal titles added to VERA.
Titles
that are investigated and found to require additional funds for access
should be entered into VERA but left on hide=yes. The following
info should be added to Licensed Notes of the VERA record: "title
awareness per sfx report, additional funds required for online access."
At this point we do not have a workflow in place to contact the selector
with this information, but if you should do so, please also indicate
this in the License notes. Finally, please include the following information
in the title field: [PERMANENT HIDE on hold].
