Setting Up Ingenta Select Titles


1. Search Vera for the title

If you find the title already listed with the appropriate interface, look over it briefly and then move on to the next title.

If you find the title listed with another interface (e.g. Project Muse or JSTOR), follow instructions as usual, but leave on Hide=Yes for a second person to review.

If you do not find the title at all, follow instructions as usual.

2. Create a record in Vera

In Vera, search for the title: "Ingenta Select Template" or "Ingenta Template"

Duplicate (<Ctrl>+D) the record

Update the following fields.

Title

URL Native

For Ingenta Select, the correct URL can be found at the "Linking to Ingenta Select Journals" page.
Ingenta Select URLs have the following structure: http://www.ingentaselect.com/nw=1/rpsv/cw/publisher/issn/contp1.htm

For Ingenta, the correct URL can be found at http://www.ingenta.com/easylink/ or at the text-only list of titles + shortcut URLs.
Ingenta URLs have the following structure: http://www.ingenta.com/journals/browse/pubcode/titlecode

Publisher1 : use the same form of the publisher name that appears for other titles in Vera

Coverage: this field should be BLANK

Subject: add one subject. If unsure, use the commitments "Fund Translation" view, and choose the subject that correlates to the fund for the print title

Licensed Notes: input the date, your initials, and any other relevant information about activation

ISSN: all ISSN fields must be BLANK -- these are populated by an import from Barton

Fulltext Links: if this field includes the information "title by title [vendor name]", please add [NOT LINKED] after it. Only do this if the phrase 'title by title' appears.

Hide: leave record on Hide=yes until registration confirmation has been sent to the esubs list

3. Search Commitments for the title

In most cases, you will find that Kim created a Commitments record for the e-version when ordering the new print title. The title need not be live in Vera to have a Commitments record.

If you do not find a Commitments record for the title, you will need to create a new one. Duplicate the print title and alter the following:

  1. Order: New unique comes-on order number
  2. Format: E
  3. Price: .00 [this is a very important change. If you skip it, you are magically creating money in the serials budget that does not exist.]
  4. Comeon: Paste the order number from the print subscription into this field.
  5. Title: add [WEB ACCESS]

4. Find the publisher's reference number

5. Register for access using online forms

Ingenta Select (preferred)

  1. Use Ingenta Select's Subscription Activiation Form at http://www.ingentaselect.com/activate.htm to register the title.
  2. Choose Click here to set up your subscriptions.
  3. Select radio button next to: Massachusetts Institute of Technology Libraries (cid35012368).
  4. Enter Manager Password.
  5. A screen appears with MIT's contact information. Do not change this information.
  6. Select the boxes next to the title(s) you are registering.
  7. Click on Submit Journal Selection button.
  8. Enter the publisher's reference number when prompted.
  9. You will see a message that should confirm the title(s) you activated. Ingenta Select will send a confirmation notice to the esubs mailing list when full text is officially available.

Ingenta (when title is unavailable or misbehaving in Ingenta Select)

  1. Go to http://www.ingenta.com/
  2. Login using our username and password
  3. Select manage my ingenta from the screen that appears.
  4. On the next screen, choose my subscriptions. Confirm that the title has not yet been registered by browsing our current subscriptions, linked near the bottom of the screen.
  5. Search for the title you want to add, or browse from an alphabetical list to locate it.
  6. Check the boxes to the left of the new titles you want to register.
  7. Enter the publisher reference number in the subscription number box.
  8. Click on the add selected to list button.
  9. You won't see immediate confirmation of registration onscreen, the way you do with Ingenta Select. However, Ingenta will send a confirmation notice to the esubs mailing list when full text is officially available.

When registration is finalized, the "Subs" icon will display in Ingenta Select, and the "article availability" in Ingenta will indicate "You are entitled to free access to this article. No payment required."

Spot-check articles to make sure you can access full text.

6. Change the Vera record to "Hide=No"

Update any information in the licensed notes field that suggests the registration is still pending.

If registration confirmation has not been received within about 3 business days, check the site to see if you can get into fulltext; if not, contact tech support requesting the status of subscription activation. Record information about your contact in the licensed note field, e.g. "emailed tech support 2/6/02 to ask why title not yet live."

7. Inform catalogers and subject specialists

You need to inform serials cataloging that the title is live by sending an email message to sercat@mit.edu. Use the stationery file supplied by Kim, with subject "new ejournal in Vera." A copyable sample email is available.

This message -- which can contain a list of all titles that became live in Vera in a given day; you do not need a new message for every title -- should also be copied to the relevant subject specialist. In general, this would be the person whose initials appear on the order request. Consult list of subject specialists in the MIT Libraries if unsure.

If the title you are working is the FIRST from that publisher via Ingenta Select interface, there may be special terms & conditions for that publisher. Terms are often found by clicking on a publisher's copyright notice. If you find any special terms or conditions, print them and refer them to Ellen; email Ellen if you are working with a new publisher but cannot find new terms.

Note: as of January 2003, we have decided to favor Ingenta Select registration over Ingenta registration, whenever possible.
