CD-ROM Titles in Vera: DRAFT


We put records in Vera for CD-ROMs for two reasons:

  • To keep track of licensing information (whether or not we make the record visible to the public)
  • To highlight important CD-ROMs to our users, based on a selector's request, through Vera

Add a New record to Vera, paying attention to the following fields:

Vera Field
If Hide=No... If Hide=Yes...
Hide:
Change to No, as long as you're ready for the record to show to the public
Keep as Yes, if you don't intend for the public to see this record
Title:
Use the title as it appears in Barton, but capitalizing major words, or as the selector indicates

Publisher:
Use whatever the current publisher is (can take from Barton, if it's current, the piece itself, or what the selector indicates)

Type:

choose "Database"

Format:
choose "CD-ROM"

Remote Access OK:
choose "No"

Licensed:
choose "Yes" in almost all cases (notable exception: U.S. Government Publications) 1

Coverage:
Selector will usually tell you what to put Blank (doesn't matter if record isn't showing to the public)
Access Exclusions:
If product does not allow walkin use, indicate here 2 same
Access Control:
Leave blank (unless there are access restrictions 2) same

Fill in only if you have Access Exclusions 2 Blank (doesn't matter if record isn't showing to the public)
Restrictions:

Answer the following two questions:

Is product restricted to one user at a time, or is it okay to mount on a LAN?

Can we keep the back issues of the product, or must they be destroyed or returned?

Licensed Notes:

Add notes about

1. is there a license or are there any terms and conditions of use? (yes or no)

2. is there a signed license? (yes or no)

3. where is the license located? (e.g., on the CD itself, on the publisher's web site, printed out and in Ellen's folder, etc.)

4. where to call for key codes

Always include date and your initials

Subject(s):
Select at least one subject. Either the selector will provide it as part of his/her request, or you have to pick one based on what you see at the site.

Add the PO number of the parent record (where the payment is made)

Who to contact if the CD isn't working, or if you need a key to unlock it, or need help with installation, etc. same

1 Note on Licensed field: This field is meant to indicate open access vs restricted access. If we've had to subscribe to a title in order to get it (i.e., paid money for it), for this field we consider it "licensed," even though there may not be a signed license or even any terms listed.

2 Note on Access Restrictions: If you have a CD with access restrictions (e.g., terms stipulate no walkins allowed), you will need to fill in the following fields:

  • Access Exclusions: click on Lincoln, Haystack, and/or no walkins, as terms stipulate
  • Title Note: Add free text to show to the public about what the restrictions are and how authorized users may gain access (frequently, this means giving them information about how to get a password from a library staff member).
  • Access Control: choices are either IP or Password, and normally in this situation you'd choose Password.
