Procedures and Troubleshooting

Barcoding

Place barcode on front of the cassette case, trying to obscure as little information as possible.

Call number label

Use archival quality foiled-back 1½ x 1 in. labels. Hand-write or type call no. on label. Put the label on the spine of the case or the spine of the tape, whichever faces outward when the tape is standing upright on a shelf. N.B. Do not use the prefix ‘Videocassette’ in the call number. If videocassette is accompanying material see procedure for Accompanying Materials.

Dates

There will be cases, particularly with commercially released videocassettes, where several records will exist online with the only difference being the copyright date. For many of these videocassettes, which are often video versions of commercially released motion pictures, the only date given in the 260 [delimeter] c is the copyright date, since the copyright date is usually the sole date on the piece, and in such cases LC calls for using the copyright date in the 260 field (see RI 1.4F6). Strictly following the rules, then, one is obliged to create a new record in OCLC for the videocassette every time the copyright date changes.

While other libraries have been strictly correct to input these multiple records for the same title, the situation is more closely analogous to that of printing dates in the books format. Where multiple records exist in response to different copyright dates, attach to the record with the earliest copyright date, that in all other regards matches the video cassette you have in hand.

EXAMPLE: You have a videocassette of "It's a Wonderful Life", issued by Viking Entertainment and dated c1992. In OCLC, you find:

Use the c1985 record; do not change the date on the record.

EncLvl 1 (one)

In Bibliographic formats and standards, level 1 is defined as Full-level, material not examined. It is the fullest level that can be supplied without physical inspection of the item. Encountering this kind of copy means paying attention to these fields:

Feature films

This document contains our policies and procedures concerning the cataloging of feature films.

Incomplete copy/no hits

See document Distribution of Incoming Monograph Materials.

MARC tagging; which fields to accept/add/edit/ignore

In this document, see Videocassette Editing Guidelines, below. If the fields/tags are not found in this document, see document: Monograph editing guidelines

Rules, Authorities

See document Authority control for Copy Catalogers.

Rules, Descriptive cataloging
