Procedures and Troubleshooting

Preference for Copy

Normally, prefer DLC copy.  However, in the case of a GPO map, prefer a GPO full level record if available.

Call Numbers

The date in the call number for maps is the date of situation (the year of the time the map was accurate) rather than date of publication.

EXAMPLE: You have a map that says “Cartography by R. H. Hunt 1985.”  Yet the date of publication is 1995.  The call number uses 1985 even though the 260 |c is 1995.

You may have maps that give a range of dates for the data used in the map, and then there is a later publication date.  In most cases, accept the date that is used on the copy, unless there is a large difference.

052 (Geographic Classification Code)

On a general or subject area map, if the 052 accurately refllects the geographical area, accept it.

If the map is of a county/province or city, edit the 052 to reflect this, complete with cutter for the county or city.

Do not add more than one 052.

Pre-AACRII Copy

Treat call numbers on Pre-AACRII copy with more skepticism than current rules DLC copy.  Do not update punctuation.  Leave the scale statement as a 507; do not add a 034.

MARC tagging; which fields to accept/add/edit/ignore

In this document, see Map Editing Guidelines, below. If the fields/tags are not found in this document, see document: Monograph editing guidelines

Volume/Sheet/Accompanying material designation

If you have multiple maps, label them as “sheet 1, sheet 2…”  If the legend has a sheet to itself, label this a sheet also.

If the accompanying material does not have a logical name such as “report” or “guide,” call it “suppl.”

Rules, Authorities

See document Authority control for Copy Catalogers.

Rules, Descriptive cataloging

AACR2r and LCRIs, chapter 3.  Plus LC’s Maps Cataloging Manual.

Sending maps to the libraries

Do not send to the bindery. Put on the mail truck with routing slip attached.
