Analytics: deciding what notes and headings to make

[Procedure]


Which category does the item fall into?

(Note that 1 and 2 below relate to "periodicals" while 3-6 relate to "supplements" or "special issues.")

1. Selected issue of periodical published separately
2. Selected issue of a periodical cataloged separately
3. Supplement with its own numbering
4. Supplement relating to particular issue of a serial
5. Unnumbered supplement or special number to a serial
6. Supplement added to serial record

Type of note and/or entry for each:

1. Selected issue of periodical published separately.

(cf.: LCRI 21.30G, p.1, and LCRI 1.6, p.6) 

Make 500 note and 730 related work added entry for periodical itself, without numbering.

Note that this policy is different from earlier policy found in DCM C11.1.4.3 (July 1985), which instructed one to add a 500 note, but not to make an added entry. The DCM does provide information on identifying this category of materials: 

"Several publishers (e.g., Haworth Press, Pergamon Press) publish hardcover editions, with special titles, of selected issues of their periodicals. These hardcover editions are published in addition to the unbound issues which are received by subscribers... 

"Do not consider such a hardcover edition to be an integral part of the periodical, but make a separate bibliographic record for it. Add a note explaining its relationship to the periodical, e.g., 'Published also as v. 15, no. 1 of the Journal of children in contemporary society.'" 

In the above example, the added entry would be:730 0B Journal of children in contemporary society.

2. Selected issue of a journal or serial, also carrying a distinctive title, cataloged separately (i.e. as a monograph).

Create this kind of analytic if the item in hand is an additional copy to the one in the serial run, or if the item is acquired solely for its monographic context and we do not own the serial run..

Treat the journal/serial title as series, using 4xx/8xx fields; a periodical can be just a specific type of monograph series. For more information on when this would be done, see Cataloging an Issue of a Journal or Serial as a Monograph.

(Note: Unless otherwise instructed by the Public Service Unit, the cataloger will assume that the added copy is to be classed seperately (i.e. not with the serial.)

3. Supplement with its own numbering. 

Treat as series, using 4xx/8xx fields, and typically: $p Supplement ; $v --.

4. Supplement (numbered or unnumbered) relating to particular issue of a serial.

(cf.: LCRI 21.30G, p.2, and LCRI 1.6, p.6) 

Make 500 note and 730 added entry consisting of the name of the serial and, in subfield $n, both the number of the issue and the qualifier "(Supplement)" in English. 

Form of numbering should be drawn from LC series authority record if one exists, or from serial bibliographic record. The numbering designation following $n should follow the form of numbering in main series or serial in every respect except that the first letter becomes uppercase. If such a heading is new to the catalog, it is not necessary to create a stem record with the form of numbering in the local authority file; each additional heading will index separately, and form of numbering will be apparent.

5. Unnumbered supplement or special number to a serial.

(cf.: LCRI 21.30G, p.1, and LCRI 1.6, p.6) 

Make 500 note and 730 related work added entry for periodical itself. Example of 730: 

730 0B Annuario statistico italiano. $p Supplement. 

Remember that the supplement must relate to the serial as a whole, not a particular issue. Note that "Supplement" is not abbreviated to "Suppl."

6. Supplement added to serial record. 

In deciding wheteher a supplement to a serial should be cataloged separately or added by Sercat as an item attached to the main serial record, apply the same criteria as that of any "accompanying work" as outlined in LCRI 1.5E (very freely adapted below): 

Usually catalog separately as a monograph material that either is not issued at the same time as the main work or shows an important difference in titles or statements of responsibility from those appearing in the main work.
