Circ Committee Minutes - 10/17/05

Announcements
Kevin Sheehan will be the new chair of the Circulation Committee starting in November.
Denise O’Malley will represent the committee on Barton Operation Group (BAG).
Expired Holds
The problem of expired holds was discussed. There is a problem with some items that had an “on hold status” which was not removed when taken off the hold shelf. Instead of retaining the status of “on hold” they appear to revert to their normal status in the item record. But when these items are brought to the circ desk for check out, Barton says “item on hold”. And there is no link back to the patron who had placed the hold. But the items can only be deleted through that patron record. Christine Moulin ran a report to delete expired holds. The committee would like “on hold” status items to automatically be deleted after the 1- week hold. Georgiana will find out if this is possible.
Your Account
The problem still remains in Your Account of not being able to renew reserve materials.
At the beginning of the Fall semester an E-mail was sent to all in-coming new students about the libraries and the Your Account function.
Proxy Borrowing Privileges and Your Account In Aleph it is not possible for Proxy borrowers to see their record in Your Account. And the committee agreed this should stay this way. Currently e-mail notices for holds go to the sponsor, not the proxy borrower. Changing this so it goes to the proxy would be less confusing and more useful to the users. Georgiana will ask Christine Moulen if this can be changed.
New Student Patron Record Load
This semester for new students, patron barcodes were loaded with patron records from the bursar’s office. Some of these did not load correctly, resulting in extra barcodes. Christine will delete these extra barcodes.
P-Card patrons “re-loaning”
Some p-card holders ask if items can be re-loaned (checked in, then immediately checked out again). This would be effect a renewal. And p-card holders cannot renew items. We agreed that current policy should stand.
Aleph service packs and V.18 Timetable Word from Christine Moulin is that testing could start in March 2006 and possibly have full implementation in place by November 2006. Christine will look at service packs issued for v.16 to see if they are necessary. They would have to be tested if implemented.
Overdue Pop-up message
In Aleph 16 there is supposed to be a pop-up message when an item checked in is overdue. This no longer seems to be functioning. Georgiana will investigate.
C-Space
Georgiana is updating the C-Space Your Account web page.
Patron Statuses and Privileges Chart
During the meeting we worked on filling in a spreadsheet that will be a comprehensive chart detailing borrowing privileges for all patron statuses. This chart will be added to C-Space.
