Circulation Committee Minutes – 9/19/05
Present – Larson, Mazor, O’Malley, Sheehan, Such, McReynolds (chair/minutes)
- Proxy procedures – Denise and Kevin will test email notification for sponsor and proxy; Georgiana will test sponsor and proxy display in Your Account. Denise’s email response to the online Designated Borrower Form will be edited according to our test results. Once the procedures for creating proxies in staff Barton have been finalized, all units should must comply.
- Georgiana will write to the Aleph list to find out how other libraries deal with the unsatisfactory handling of checking out items with multiple holds.
- Christine brought the reserve renewal problem to Ex Libris. Christine made some changes to the setup of table 16. Circ staff will monitor to see if the problem has been resolved.
- The lost book return problem (credits for paid items went to the patron’s active cash window) has been corrected with a setup change made by Christine. Georgiana ran a report to identify and correct the problems – approximately 100. Credits were changed to paid and moved to patrons’ cash history.
- Georgiana will work with Christine to determine if we can disallow renewals for P-card borrowers with the reloaning limit feature.
- Kevin mentioned the work that he and other staff at Rotch have begun on charting borrowing privileges for various patron statuses. It was decided that this work should be shared in the committee and everyone present volunteered to review privileges for the next meeting on October 17. The outcome will result in a clearer understanding of the dos and don’ts that relate to items and patrons.

- The rest of the meeting was devoted to a discussion of the committee’s role in contributing to the mission of the MIT Libraries. Georgiana will send the notes to cir-lib. A written response to Steve Gass must be ready before 10/14.
