Circulation Committee Meeting
Monday August 15, 2005
Present: McReynolds (chair), Feiden (minutes), Hankins, O'Malley, Pribble, Sheehan, Such
Updates
- New designated borrower form is live online at http://libraries.mit.edu/mitonly/d-borrower.html
- Georgiana reported on the ongoing effort to work with the card office to have barcode information attached to records in the load for incoming students.
- Georgiana reported on upcoming PSMG committee review.
- Beginning in the fall semester, Doc. Serivces' hours will change to 11am-3pm. Copy cards are available for purchase at CopyTech, for anyone needing them before/after hours. Also, group P-cards are available through Doc. Services, information at http://libraries.mit.edu/ordering/p-cards-corporate.html
- Override permissions for patron statuses
- Georgiana asked the committee to consider whether patron override permissions should be set to "yes," so that the override button is not greyed-out. At present, this is the only work-around for problems with override function. Having override ability would make some tasks easier by eliminating steps. In the case of multiple holds on an item, for example, is it too cumbersome to set and reset permissions? Georgiana asked committee members to look for tasks in their daily work where override function would be helpful.
Aleph version 16 staff Barton
- Expired holds that have not been deleted from patron accounts are posing a problem for circulation. Christine Moulen will be consulted for best fix.
- Some staff have been experiencing problems with patron hold notifications not being sent as a result of VirusScan software blocking the email. Georgiana will send instructions for setting exceptions in VirusScan.
- Problems encountered in Reserves module: HTML coding incorrect/incomplete, resulting in misnamed labels and malfunctioning "back" feature; OPAC display in the public catalog was showing multiple (and incorrect) locations for reserve materials. This was reported to the WebOPAC Feedback Group and has since been fixed.
- Christine fixed patron notification emails so that they now state the pick-up library (n.b. this is when print function is set to "normal" and not "preview"). Patron confusion resulting from initial problem has dissipated.
- Pick-up library drop-down menu in Your Account has two choices for Hayden -- one for Hayden itself and one for RBR. Problem reported to Christine.
- Staff in some units do not have privileges to run reports from services menu. Supervisors should ask Christine to change permission levels, if needed.
- Consensus reached that, going forward, units should use new procedure for adding proxies outlined at http://libstaff.mit.edu/circ/Cspace/designatedborrower.html Committee will send reminder email to circ-staff.
Customer service training
- Kevin Sheehan reported on progress of developing customer service training for public services staff. General discussion of various patron relations scenarios ensued.
