PREVENTING RENEWAL OF RESERVE BOOKS PROCEDURES

When a patron asks for a reserve item currently on loan, you will need to place a hold on the item using your Library Block Reserve Renewals account (for example, for Rotch Library it would be "Rotch Block Reserve Renewals" account). This is the name of the patron you want to place the hold for.

(Optional: Individual units may decide to place information in notes field as applicable Ex: patron’s e-mail address to contact them when item is returned no guarantee they will be next user to ask for item.)

To Set Up Your Library's New Account for Placing Holds on Reserve Items

 

Instructions for those who know how to place a hold:

If you know how to bring up the item record of the Reserve item to be requested, Do so. Click on Hold Request.

Click on the Right Arrow of User ID and search for your library’s Reserve block account. (for example, for Lindgren: Lindgren Block Reserve Renewal, )

It will say Item can not be requested, Click Override. Under Recall Type, select 03- no recall. (Note: Make sure the pickup location is Your Library!)

Select OK.

When the book is returned, the Hold Slip is activated for "Lindgren Block Reserve Renewal." The hold will need to be deleted. Proceed to When the item is Returned.

 

For those who do not know how to place holdss

1). From menu bar select Requests => Create hold request.
The “Enter the User & Item Info” box pops up.

2) Find specific reserves item by clicking on the black arrow to the right of Item Barcode. “Search for an Administrative Record” window pops up.

3) Perform your search for the reserve item. Enter the Call number in the bottom field and click Search.
(for example: search by Call Number for QC912.3.G66 1989)

5) Highlight the copy specific reserves item. Click Select.

6) The barcode of the reserves item appears in the pop up window.

7) Wand the barcode for your Library Block Reserve Renewals (OR if you do not have the card handy, click on the Black Arrow and search by “name” for your account) and click Enter to perform the search.
(for ex: barcode is 1486 or library name is Lindgren Block Reserve Renewals)
DO NOT PLACE HOLD USING PATRON’S ID CARD OR NAME.

8) Click Select. The “Enter User & Info” popup window is filled in.


9) Click OK. The system responds with an error message.

10) Click the Override button to place the hold request and prevent the current user from renewing the item through Your Account.

11) A Create Hold Request form pops up. The pickup location should default to your library since the item is currently on reserves in your library.(Please double check that this is so!) Click OK and the hold request is completed.

 

When the Reserve Item is RETURNED

You will need to delete the hold. (If your library is placing notes in the Notes field, look there first and if any, act accordingly, before deleting notes.)

Note: The patron’s name on the hold request is your Library Block Reserve Renewals account.


Procedure for DELETING HOLDS

1. From menu bar select Requests => Delete Hold Requests by Barcode.

2. Wand barcode of returned item and click OK.

3. Close the Hold Delete Letter popup window without printing it.

4. Close the Delete Hold Requests by Barcode popup window.

5. Reshelve item in the reserves collection.


To Set Up Your Library's New Account for Placing Holds on Reserve Items (This will only need to be done once per unit.)

1. From menu bar select User Info => User List

2. Select the New button.

3. Name: The format for naming this account is:

LIBRARYNAME BLOCK RESERVE RENEWALS
(for example: ROTCH BLOCK RESERVE RENEWALS)

4. Tab 2: Local Information

A. Tab 1 - General Information
a. Status is 08
b. Type is 8C
c. Get defaults
d. Expiration date is 2099 (or way in the future)
Note: Default expiration date is not correct.
B. Tab 3 - Privileges:(Use Get Default option)
All buttons should be Yes!
C. Update to save changes
5. Tab 3: Addresses

A. Enter department address, telephone, and email address for reserves staff or individual

B. Set email expiration date to 2099 (or way in the future)

C. Use either address 1 or 2

D. Update to save changes.

Now your unit has an account set up to Block Reserve books from being Renewed in Your Account.
