Barton Advisory Group - Meeting 05/25/05 - Minutes
Present: Christine Moulen (chair), Darcy Duke, Charlene Follett, Georgiana McReynolds, Kim Maxwell, Lisa Harrington, Elke Piontek-Ma (minutes), Beth Siers.
1. Welcome to Lisa
Lisa will be replacing Kim on BAG, once the upgrade is complete.
2. The group looked at the NAAUG meeting sessions of interest to us in order to see if those who will attend the meeting can go to these sessions. Nina, Rich, Beth, Lisa and Christine are attending NAAUG. Beth and Rich are staying for the SMUG meeting.
3. Meeting schedule
The next meeting in June was cancelled because of NAAUG/SMUG, but we decided
to have a meeting on Friday June 10. The next regularly scheduled meeting will
be right before ALA.
4. RSC/LSA name change
-For the Web OPAC Beth will do magic (items will remain searchable as RSC until
the final conversion, even though the holdings will say LSA) and RSC will continue
to show until our final conversion to v.16.
-Items and holdings records will actually change codes from RSC to LSA, however
the descriptive name will remain RetroSpective Collection until the final switch
over..
-Several global changes will be necessary. For example, the global change for
the retention notes in the 866 will be made on the last day of work in v.14
or on the first day in v.16.
-the Check-in notes in the subscription records will have to be changed manually
over time.
-RSC will stay in the list of sublibraries with a "Do not use" note
in order to preserve historical data.
5. Upgrade updates
- One of the loader problems regarding the table of contents service was fixed.
- ExLibris is still working on the three priority loader problems.
- Some OPAC issues have been fixed, however there are still a lot of issues.
Darcy, Tracy and Nina are trying to set up meetings and coordinate the resolution
of those issues
- some invoicing/SAP testing still needs to happen
- Joan and Christine are working on customizing various printed forms
- EDI testing is progressing
- Mono-acq is now writing documentation
- Will wrote a macro to work around the problem with the invoice status (is
this correct, Charlene?)
- Christine is working on customizing circulation letters
- There is a problem with the Hum+Sci display. In version 14, Hum and Sci displayed
as Humanities and Science in the staff client, but as Hayden Library in the
web OPAC. This doesn't work in v.16 - Christine confirmed that it's a bug and
it was referred to ExLibris programming. We don't know how soon it will be fixed.
Christine will change the v.16 test client to display Hayden Library as the
sublibrary (Please note that HUM and SCI continue to be displayed in the sublibrary
code) to see how disturbing it is for staff.
- The group discussed what to do if there are still important issues (Hayden
display, OPAC issues, loader issues) that haven't been resolved. We'll have
to make a decision before the global change for RSC/LSA, which means at the
latest on Friday, June 10.
6. Training updates
Circ
- Circ staff training is being scheduled
- Christine will set up the permissions
- Documentation for training has been created
Searching
- Darcy has been asked about staff Barton searching training
- in the last BAG meeting it was decided that training for searching will be
dealt with in functional training, but only as it is relevant to the function
- Aleph v.16 training is not going to be core competency training
General
- to reinforce the importance of training for all staff members, another message
to all staff might be useful to make sure that everybody understands that this
training is a top priority and staff members make themselves available to attend
all necessary training sessions.
Serials
- the serials group is in good shape, two sessions will be offered, each session
will be offered twice.
Processing
- processing committee will offer one session, which will also be offered twice
and which will also include RSC staff.
