Barton Advisory Group
Minutes, 12/1/2004

Attendees: Christine Moulen (chair), Beth Siers, Rich Wenger, Kim Maxwell, Tracy Gabridge (minutes), Georgiana McReynolds, Elke Pointek-Ma, Nina Davis-Millis, Charlene Follett

Discussion on the version 16 upgrade:

The test server has gotten its additional memory for the upgrade. It is expected that grammy will get its additional memory sometime in January. Both systems are also getting an operating system upgrade (test server: the week of 12/1, grammy: in January).

Next the test server will get its data updated with an import from grammy. Then it can get its upgrade to version 16. It is expected that the test server will available intermittently over the next couple of weeks as these changes happen.

Question: What if we want to do a special conversion - like for moving patterns from the ADM record to holdings? Moving patterns from ADM to holdings should be a standard option. We have extra local tags in the ADM record that Ex Libris may not be expecting
Christine will keep track of this question.

Configuration questionnaire: There are some questions on cataloging that Christine will forward to Beth.

Documentation: The version 16 documentation is available on Turnpike at \\Turnpike\Aleph 16 Docs. Feel free to take a look.

Training Coordinator: Nina and Christine canvassed the group to see if anyone had any ideas for folks who might be interested in being a version 16 training coordinator. Christine and Nina will pursue setting this up.

Question: Are we going to make the production upgrade coincide with the fiscal year changeover? ALA is happening June 23rd - 29th. Could we aim for between NAAUG and ALA? Nina suggested 1. Talk to Macrina to see what dates will work best for the end of the year changeover 2. Nina will talk to Ex Libris about their preferences for scheduling an upgrade date. Charlene will contact Macrina. The answers to these questions will point to the appropriate upgrade date. Since we are upgrading our test server mid-year, we can examine issues that might arise if we must do our production upgrade essentially mid-year.

We need to check version 16 to ensure our contractual items have indeed been developed. Nina and Christine will follow-up on this.

Verde screen shots were shared with Ellen Duranceau, Kim Maxwell, Ivy Anderson, and Lauren Moffa at a meeting with Ex Libris recently. In December they will meet again for a couple of days to get further in details and to provide further feedback.

Rich saw a presentation on the Aleph Reporting Center. It looks fairly sophisticated, but we don't know the price yet.

What is the status of putting more data in the Data Warehouse? Joan may have the latest information. The version 16 upgrade might require changes to the extraction routines for getting data to the Warehouse.

Starting in January, we may move the BAG meeting to the morning when we change the meeting location to the new Systems' space. Bring your calendars to our next meeting.

Next Meeting: Dec 15.; Minutes: Maxwell
