Barton Advisory Group Minutes
July 7, 2004

Present: Follett (minutes,) Gabridge, Maxwell, McReynolds, Moulen (chair,) Siers, Piontek-Ma, Wenger

1. New location for Hayden
Gabridge inquired about creating a new location which would display the Humanities and Science collections in the OPAC as "Hayden," which would reduce shelving confusion for our patrons. This could easily be done if all collections would receive this new location, however, Hum and Science would like to retain separate locations for certain collections, such as Reference or Ready Reference. Java-scripting is not an ideal solution either.

Moulen will experiment on WALTER with setting up library-specific collection descriptions for Humanites and Science, such that some collections will be able to retain the individual library name, and others can display as Hayden. (This may cause problesm for the select lists of libraries on the web.)

2. New collection for Archives
Siers reported that Archives will be loading 644 RLIN records into Aleph, for which holding records will need to be created. The records do not provide a way to correctly select between the existing codes, and thus a new code is needed. Loading future records from RLIN to Aleph vs. Aleph to RLIN has not yet been decided. Once Siers can confirm that Archives does not need logical bases and limits, which will complicate the setup, and they decide on a code and description, she will let us know so the new collection can be created.

3. Access codes in OPAC
Gabridge reported that she met with Hennig to discuss the use of shortcut access keys in the OPAC and they determined that this will be very easy to implement. A common scheme has already been worked out between our homepage and Vera, and they would like to use this same scheme for Barton. Gabridge will change a few files in WALTER to test, and then implement in our live OPAC, along with the New Titles search. The shortcuts will be identified by an initial bold letter. Hennig is working on a page which will document all access keys.

4. NAAUG@MIT
Group reported on the various sessions that each of us attended at the recent NAAUG meeting.
