Barton Advisory Group - April 14, 2004

Present: Tracy Gabridge, Kim Maxwell, Georgiana McReynolds, Christine Moulen (chair/minutes), Beth Siers, Rich Wenger

Announcements:
A group (Christine, Georgiana, Rich, Joan Kolias and John Hume) will be meeting with the Data Warehouse team tomorrow to discuss the data model for our Circulation data.

Some updates about version 16.

-Ex Libris has a demo version (not our own data) ready to look at whenever we are ready
-Christine has access to the new clients, and can show them connected to one of Ex Libris' servers on version 16.
-Ex Libris has looked at our server and estimated the required disk space for the upgrade.
-This Summer, in preparation for the upgrade, we want to move our production server to the Storage Area Network, where it will be easier to manage our disk usage. At the same time, we will expand the space the test server is using, so that we can do our test upgrade to version 16 in parallel with the existing test database for version 14.2.
-Ex Libris is about to test the upgrade process with real customer data. (Beth and Tracy noted that SUNY Binghamton, the official beta tester, has not yet started their upgrade.)
-Assuming we move forward with the ERM/Greenbox project, testing and training can continue through the academic year with a Summer 2005 production upgrade OR, if the upgrade works smoothly and the ERM project doesn't happen, there is still the possibility of an accelerated testing/training period and an IAP production upgrade.
-All staff will need training for the new clients. Barton Group will coordinate or designate a training program once everyone knows a bit more about this upgrade.

Tracy informed us that discussions on the Electronic Resource Management/Greenbox project indicate that it is likely that we will want to make Barton an SFX source in order to enable off-campus access to our electronic resources in Barton. This should be added to our priorities list as a new OPAC project, as some displays need to be changed.

Other business:

We talked about our new charge, which Nina announced recently.

Beth told us about the newly discovered (thanks to Harvard) possibility of suppressing specific tags from the MARC view in the web OPAC, such as the name of the cataloger. Kim would like to suppress the 599 04 field, a local note about handling of SERMs. Beth will be requesting input from catalogers as well.

Other items with Processing significance were tabled in Elke's absence.
