Barton Advisory Group Minutes
2/4/2004

Attendees: Nina Davis-Millis, Charlene Follett, Tracy Gabridge (minutes), Kim Maxwell, Georgiana McReynolds, Christine Moulen (chair), Elke Piontek-Ma, Beth Siers, Rich Wenger

Announcements

Reports: Circulation data will be going into the data warehouse. There will be a small team working with the data warehouse to migrate the data. Joan Kolias has created space on Turnpike for reports that aren't going on the Data Warehouse page. Christine and Joan have created a structure for where various reports will be stored and a document that describes this structure. There will be a list of reports created. It is a growing list. Eventually, when final, the list of reports and where to find them will be available on the web for all staff.

Test database: The test database is refreshed with current data as of 1/15/2004.

Meeting Locations: Some of BAG's future meetings will be in Barker

NAAUG meeting planning: Nina , Beth and Tracy gave updates on NAAUG planning. Nina announced that since we are hosting the conference MIT Libraries staff will be able to go to individual sessions without paying registration. If staff plan to attend many sessions, meals, etc., registration will be required.

Upgrade to 16: Ex Libris staff have recently given us indication that we should be considering an upgrade soon. Ex Libris isn't wanting to make any programming changes to 14. We are still waiting for the upgrade process for 14 to 16. Christine will check with James Steenbergen on the status of this.

Project list: Nina explained some new structure that is being worked out for Technology Projects. Sponsors for the projects will have some responsibilities outlined. Sponsors will not generally come from the systems office. Beth is a sponsor of 2 Barton projects, Joan is the sponsor of the reports project. The group discussed other Barton projects and where they fall in this process. We'll determine which of our projects really need to be managed through the Technology Projects process and make sure our projects have up-to-date descriptions to aid in prioritization.

Other items

  1. Kim reported that a piece of EDI invoicing is not really working after additional investigation and testing. Christine and Kim will meet to see what can be done to fix this.
  2. Tracy reported that there are still users using old bookmarked URLs to our frames catalog. Christine said that we ought to be able to put in a redirect. Tracy and Christine are working on this.

Next Meeting: Scheduled for Wednesday 2/18/2004 at 2:00, but it was cancelled. Our next meeting will instead be Wednesday March 3 at 2:00 in the Hayden Conference Room.
