Barton Advisory Group Meeting

1. HDC note: Circ committee gave okay to get rid of it. Christine can get rid of it for straight 'HDC ITEM' notes - if there are more notes she will give them to Michael.

While we were discussing tables a question was posed:
Can we delete from the drop down box of choices the lines for item status and processing status that are marked *DO NOT USE*?
The answer is that if there really are NO items with those statuses they can be deleted. Christine will take a look and tell Kim to update the web pages if she removes any.

2. Default order item status: Catalogers would like the most common (01) be the default, since they have to manually change it for second copies and load errors. We came to the conclusion that the number of things that would accidentally make it to the shelf with a longer status than it should have, would be so small, that it's worth the time saved by catalogers (and subsequently processing) not to have to change the vast majority which are 01.

3. Your account: It's coming in June with patch 5. The big question was how do we get the passwords out to users without forcing them to go to a circ desk? The system assigned ID number we'll be using for the initial password is already printing on most notices. A few days before it goes live, we will add some text to highlight this and note that it will be used as a password. This should cover most active users. New users will have to visit a circ desk anyway. We're also going to try to set up a mass email to all borrowers that are not expired, a day or two after it goes up. We'll also plan to have staff test the no-frames version on walter, including a stress test if possible.

4. NAAUG: (TAG joined us at 10 for this part of the discussion) Christine, Nina Davis-Millis, Tracy, Beth and Grace Wiersma are planning to attend. We talked through the schedule for the North American Aleph Users Group meeting coming up in Iowa City, and mapped who would where during each session.

5. South African site visit: CALICO (Cape Library Cooperative, a consortium of the 5
Academic Libraries in the Western Cape, South Africa) is coming for a site visit of Aleph on June 10th. This is in the week we're hoping to bring patch 5 up live. Barton group members are asked to keep this day free. They're not expecting to use more than a few hours of each person's time, but the schedule is not set yet.

6. ICAU Enhancements: The final voting for the ICAU enhancements are due next week, May 14th. Please take a look and send any comment to Christine before then. The information about where to look can be found at http://nt-server.unisi.it/sugg/ (using the username/password sent out earlier). There is also a questionnaire due the same day, Christine has sent the list of questions to barton-lib; please send her any comments.

7. Problem tracking: Nina sent a message to barton-lib asking if others were tracking outstanding problems with ExLibris. The plan is to set up Case Tracker to keep information about any given problem in one place, and thus make them easier to track. Christine will be meeting with each of the group to talk through outstanding PRB's rather than using meeting time for this.

Announcement: We'll be moving the dev version of the frameless OPAC into the eng space next week to allow staff to begin testing. Christine will be sending out passwords for your account out to staff to test on walter before we go live.
