Minutes, Barton Advisory Group, 1/16/2003
Present: Nina Davis-Millis, Michael Finigan (minutes) , Charlene Follett, Stephanie Hartman, Erja Kajosalo, Kim Maxwell, Christine Moulen

1. Disaster Recovery Plan: What should be the Libraries response if the Barton server is knocked offline? If the basement of Bldg.14 were severely flooded? If the entire campus lost electrical power for a week? When pigs fly? There currently exists no centralized disaster downtime or recovery plan for Barton, and Nina invited the group's input for the creation of one. This is something we should have ready in case we find ourselves in need of it and something the MIT Auditor has made a requirement for the Libraries. Our group brainstormed various scenarios, and through these scenarios agreed such a plan should have two components: 1) bringing back the system, and 2) carrying on - both for our users and for our staff - while it is down. Nina will be setting up meetings with individual Barton Advisory Group members to discuss current downtime practices and identify critical issues in all functional areas.

2. Indexing: We're pretty much done with our OPAC reindexing now, and so far, so good - no complaints have been raised. The next indexing step is the logical base counters, which will take close to 48 hours to run. Barton will be available during this process, but users won't be able to browse logical bases while it's running. This is scheduled for the weekend of 1/26, leaving Barton freshly indexed for the spring semester. Erja will prepare an alert for users to be posted on the web.

3. Oracle upgrade: The Oracle upgrade for the grammy server is scheduled for Monday, Jan. 20. All Barton clients plus the web OPAC will be down for this process; staff access will be shut down very early Monday morning, after the overnight run. If all goes well, the system should be back up by mid-afternoon.

4. Next meeting: Our next regularly scheduled meeting conflicts with the annual Staff Reception on Jan. 30; we will not meet that day but have rescheduled for the following Thursday, Feb. 6.

5. Patch 5: We're still waiting for Ex Libris to fix a couple of broken programs in the patch. Once fixed, we will test, and then schedule the installation.
