Minutes, Barton Advisory Group, 12/5/2002
Present: Finigan, Follett, Hartman, Kajosalo, Maxwell (minutes), Moulen (chair), Siers

1. Indexing
We will run the browse indexes in the test database this coming weekend, starting Saturday morning 12/7/02. It's a full 3-day process, so the test database will be unavailable until some time on Monday, maybe early Tuesday. Christine will email us when it's completed.

Other processes will have to be run after the re-indexing. For example, we'll need to rebuild the logical bases (takes about 36 hours), which will take down MIT01. Also, we'll need to alphabetize long headings, which can be run overnight.

2. Reports - Questions from Joan
Jonah Jenkins from Rotch had asked for some reports that involve information from the Holdings records. We currently have no plans to put HOL data into the Warehouse (although we did confirm it would be possible for us to put some of the information in there). The reports seemed to be of the trouble-shooting variety (e.g., figuring out which HOL records have no items attached, or which items have no call number and why aren't they attached to an HOL record). We can get at this information directly in Aleph -- would that be enough for now, or do we really need the information in the Warehouse for anyone to run such a report? Stephanie will clarify this at the Processing Committee meeting next Thursday the 12th.

3. Patch 5
Someone at Ex Libris has finally found the hot fixes that were done on our Patch 2 for our loaders to work. They are sending this information to Israel so that they can be incorporated into Patch 5. Once that is done, we can work on getting Patch 5 into production.

4. Lost Item "Status"
Stephanie and Michael started the discussion on the lost/missing/claimed returned cycle. Another meeting will happen with Circ and Processing people, and Christine, to discuss further. However, this group decided on the following:

a. Christine will run a list of the 20 or so item records that have the Item Status 18 (Lost), which we are not supposed to be using anyway. She will share this information with processing staff so the Item Status can be changed to something more appropriate.

b. When "a" is completed, Christine will delete the Item Status 18 (Lost).

It seems that an Item Processing Status should probably be used to describe this condition, but we left that discussion to the next special group meeting to tackle this topic.
