Barton Advisory Group, Minutes of the Meeting of 5/30/02

Minutes
It was agreed that comments/corrections to Draft Minutes should be given to
the minute taker within 2 days of distribution. If no comments are received,
the minute taker should assume that Minutes are correct and can be distributed
to all-lib.
Testing Update
Moulen reported that the Year-end bug in Acquisitions has been fixed by ExLibris
and the year-end process works correctly now. The FY-end results and decisions
need to be reviewed by Banks, Follett, McSweeney, Maxwell, Moulen, and Rizzo.
All open orders in test database should now be encumbered against 2003 budgets.
Moulen & Siers reported that record loading for Books 24x7 and Government Documents is close to completion. Loading of Kluwer records may wait until installation of Patch 4; Moulen will check with status of this project with McClellan.
Moulen estimates that we should be ready for Patch 4 installation in the test database in approximately 2 weeks; after ExLibris completes their portion of installation, Moulen needs to update tables and web. ExLibris estimates it will take 1-2 days full-time or 5-7 days part-time for us to complete our portion of this installation. Once installed, circulation staff will begin testing fines, along with other groups testing the various fixes that are part of the partch. Work on framless OPAC and Your Account will also resume. All staff will get a new client, which includes a new fonts file.on file.
Reports Update
Moulen attended an Aleph Reports/Data Warehouse Meeting with Kolias, McReynolds,
and Mullins. Currently, Acquisitions data is the only data in the Warehouse.
IS will look at Items data next. BAG members needs to review Kolias' spreadsheet
of reports and send comments to her; Moulen will get McReynolds' spreadsheet
for same purpose. Reports need to be prioritized so we can take advantage of
IS' offer to create 10 reports for us.
Questions that arose about Processing Statistics, particularly discards, will be brought to Processing Committee and J.Banks by Hartman.
GUI OPAC Training
The group discussed a recent query from Perkins about on-going GUI OPAC Training
and who is responsible for this. Several suggestions were proposed, which Moulen
will bring back to Perkins.
Multiple Holdings Display
Discussion continued from prior meeting regarding the multiple holdings display
problem, particularly for journal issues. We think we should be able to get
multiple holdings displays down to 2 lines. Hartman will take this issue to
Processing Committee; Kajosalo will take to Gabridge and Reference Committee.
Kajosalo will ask Science Processing Office about Received Items and ask Reference
Committee to discuss with their respective Processing Offices.
Moulen will ask ExLibris if we can turn off ISSBD. Moulen suggests that any final change decisions be tested in the Test Database before implementing, so we can review the effects of these changes in the OPAC.
Siers reported that BAS will be work on some Holdings cleanup projects this summer.
BAG Web Page
The group reviewed Maxwell's revisions to our web page and made several suggestions,
which Maxwell will incorporate. Moulen suggested that Hennig be contacted for
suggestions and help with grabbing snapshots of both the BOG webpage and the
Aleph Transitions webpages. It was agreed that a disclaimer should be added
to these pages stating that they are no longer being revised. Active resources,
such as the Data Maps, will be moved to the BAG webpage.
