Barton Advisory Group
Test server news: The government document brief records are now loaded
It was agreed that the one-minute shutdown of Barton necessary to load GPO docs
would be a minimal disruption to users and that loading could begin the week
of May 20. It will take a couple of weeks to load all GPO records from May 2001.
Christine is still testing the OPAC back-up for 24-hour access. (This has since
been made available.) The Acquistions year-end still needs to be fixed by programming;
the error has now been discovered and Ex Libris has been asked to make the fix
a priority.
Item sorting: Kim presented a draft document that explains the options Aleph presents for sorting items. The group agreed the same sorting format should be used for the Web OPAC, Web reserves, and the OPAC client; Christine will do the work to make the sorting settings match. Local .ini files for serials and items can be set up to reflect personal choices for sorting; the document will explain how. This progressed to a discussion of where on the staff web to place this document and a decision was made to redesign the BAG web site for quick and easy access by staff to all local documentation we've created. Kim volunteered to do the dirty work of cleaning it up.
Adding Vera URLs to Barton records: The group discussed adding the Vera URL in the 956 field and holdings notes to allow access to off-campus users. A minor epiphany occurred when Kim suggested exporting the Vera numbers for e-resources and then loading them into the 956 for the approximately 4000 records which currently contain a generic Vera URL. Beth will take this to the e-resource cataloging group for input.
Multiple holdings: There was a discussion of why some processing statuses and other differences among items appear to create their own holdings lines. No clear answer was apparent; we will check the catalogs at other 14.2 sites and see whether the same problem exists elsewhere and, if so, how it is being handled.
Emmy hits: Christine noted while emmy was recently down that there were around 1500 attempts to access our catalog via Z39.50 on the old server address. On the assumption that Ex Libris still lists our old address in their demo OPAC, Christine will ask them to correct this.
Next meeting: Thursday, May 30, 9:30-11 in the Hayden Conference Room
