Barton Advisory Group Minutes
April 25, 2002

Present: Christine Moulen, Kim Maxwell, Stephanie Hartman, Erja Kajosalo, Beth Siers (minutes)

We have access to the Test Server, but we are waiting on ExLibris for solutions to problems with one of the Acquisitions Year end processes freezing, and the lack of the loader developments installed on walter. We are still hoping to install Patch 4 on walter in 2 weeks.

Your Account will only come live with no frames, on patch 4.

Reports:
- A regular meeting has been set up for Joan Kolias, Georgiana McReynolds, Christine Moulen, and Jim Mullins.
- Last week they met with Mary Weiss from the DataWarehouse
- Updates will come to BAG through Christine
- The DataWarehouse folks will do the next segment of work during May, but the next raining session will not happen until the summer.
- We need to decide who will go to training. DataWarehouse prefers 8-10 per session, and Christine and Joan will try to go to all sessions.
- Joan recommends attending the IS BrioQuery quick start before the training. There is one happening in May, if anyone is interested (May 24 12-1).
- We still need to collect the list of data fields and fill in description and help in Brio.


Enhancements Voting:
- We don't have access to the voting site yet, Christine is following up.
- We get 100 votes to use any way we decide.
- Development points are an indication of how much work a problem it will be for ExLibris to implement. They allow the Users Group a cap on the Number of development points they'll work on i any given year.
- We'll put our votes together at the May 2 meeting
- Christine will email Bob Gerrity at BC, and ask question raised about the voting process
- We'd like to draft another email afterwards to express displeasure with ExLibris' responses to the proposals, and the setup of the enhancements process.
- Two items on the list are Post-day 1 developments in our contract, Christine is following up of seeing if we'll need to vote for them again, or if their existence in our contact can remove them from the ballot.


BAS Item Processing Status proposal:
-BAS is proposing to change the public view of the IPS used between receipt in Acquisitions and cataloging as reading 'Ordered.' The hope is to reduce the number of extremely time-consuming book searches. The GUI will still display Received not Available as before.
-Barton Group approved moving forward with this proposal, and it's now being brought to public services.

Similar IPS proposal to separate IPS between all steps of the new book process:
-In general there is agreement that this would be a useful step forward, but the wording of the GUI display is in question
- Stephanie will start an email conversation about preferred wording to help usher this proposal forward.
