Minutes - Barton Advisory Group, 2/21/02
Present: Finigan, Follett, Hartman, Kajosalo, Maxwell, Moulen, Siers
Guests: Kolias, McReynolds

1. Aleph Reports
Kolias and McReynolds joined meeting to discuss status of Aleph reports and reports from Data Warehouse. Kolias gave a brief update on where we are with reports. She began with canned Aleph reports, modifying as necessary; some reports must be run in Aleph because they update Aleph data. BrioQuery has been useful for other needed reports, but it's been hit or miss. Results from data can be grouped/sorted in BrioQuery, Excel, Word, or HTML.

Kolias, along with other Collections Services, Administration and Systems staff, have been working with IS to do data modeling in the Data Warehouse so that reports can be run from there. Kolias is currently writing test reports to test the stability of the data; she will then work with IS on Tech Services/Collections reports, in priority order.

McReynolds has been concentrating on reports for Circulation and Reserves. Hartman and Kajosalo will talk to processing and public service staff for ideas of reports needed.

Our lists of reports needed should be submitted to Kolias and McReynolds by March 15. IS is on a strict timetable and needs to have this projected completed by end of March. Kolias needs to know what data is needed, and if possible, how certain reports should sort. EX: Processing may want an "In Bindery" report, sorted in call # order. Reports ideas should be emailed to Kolias and McReynolds, copying BAG.

Kolias and McReynolds will compile the lists from Collections and Public Services and look for overlap. If reports from public services is lengthy, Moulen will investigate finding someone to work with McReynolds. Maxwell will put lists on BAG web page. Moulen will ask Library Council if we can join their April meeting to discuss prioritizing the compiled reports list.

2. BrioQuery Training
Moulen reported that IS will offer 2 types of BrioQuery training for selected staff - one to design reports and save them as templates, one to run reports that someone else has written.

3. Test Server Status
Moulen has been in touch with Jody of Server Group who is working on the disc space issue. Sun has confirmed a software problem. Moulen will talk with Jody to get more details; may be April before ExLibris can install for us. Moulen reminded group that we must test Year-end closing before we do it live. (We have since learned that ExLibris can install server week of March 4.)

4. Priorities List
Moulen distributed the most recent (12/18) version of our Priorities List. We began going through the list and updating and will finish reviewing list at our next meeting. Maxwell will update the web version. Library Council will be given an opportunity to comment once we finish reviewing the rest of our priorities list and have a better idea of the test server schedule.

Next Meeting: March 7, 2002
