Minutes of the Barton Advisory Group January 10, 2002

Present: Michael Finigan, Charlene Follett, Stephanie Hartman, Erja Kajosalo, Kim Maxwell, Christine Moulen, Beth Siers (minutes)


Updates:
Circulation (Michael)
Christine has run some reports for Circ, and cleanup work is being done, including double fines (not a simple process!) and patrons needing deletion/recreation to fix MIT ID being used instead of Aleph ID.

OPAC (Erja)
Your Account delayed. The plan is to let the public know of it appearance about two weeks prior to release. Hoping release to be mid Feb, but completely dependant on test server.
Changes have been made to the Journals page, most notably the order and the default keyword search is now WTI.
Reserves problem: Fall courses still visible and we can't display in brief list which semester it's for. Trying to set up two logical bases by end of month, to switch between (switch dates Jan 2, May31 or June 1). Michael will check to see which semester to combine summer with. Some problems with MIT30 indexing has been reported.

Acquisitions (Charlene)
Overexpenditure does NOT produce any kind of alert in Aleph. Christine installed a fix from ExL, but no success. Selectors have been alerted, but at least one budget has been expended to 173%. There is an alert but only at the invoice level.
*This problem is now solved.

Systems (Christine)
Test server still delayed.
Missing keyboard equivalents from Nav Map buttons have been added; there was email about this to staff.
ExL Chicago's support databse lists a fix for the HOL error processing folks have been fighting. It seems to be a windows induced error caused by a missing/empty file.
Alphabetizing long headings routine ran until MOn night before it crashed. ExL fixed a table, and it will be set to run again this weekend.

Serials (Kim)
GPO self study, due Feb 28, will take up most of Kim's time, and she may have questions for us.
Nav Map display, can we add 008 to easily spot dead serials? **008 has been added.

Cataloging (Beth)
Continuing on errors from downtime loading.
Gave a lecture to catalogers about the load process, many questions answered.

Processing (Stephanie)
Bindery label printing discovery: Item processing status was being changed to blank when label printed. Christine is going to change settings to have it leave IPS alone.

 

Discussion of Item Processing Status and Item Data Map:
Holdings Task Force has made a first pass at filling in the Data Map and IPS list on web. Christine, Michael, and Charlene have added comments which will soon be added. Several of the IPS's that are not used and have been cleaned up can be removed from the tables, and dropped to the bottom of the web listing. These include BN, DS, HA, LP, OL. Beth will look at 5 strange IPS's that are now assigned to items.
*These are all fixed now.
Acq to Cat to Bindery possible IPS changes discussion.
