X-Sender: fin@po10.mit.edu (Unverified) X-Mailer: QUALCOMM Windows Eudora Pro Version 4.2.2 Date: Wed, 19 Sep 2001 07:54:50 -0400 To: all-lib@mit.edu From: Michael Finigan Subject: Barton Advisory Group Minutes, 9/6/01 Mime-Version: 1.0 Content-Type: text/html; charset="us-ascii" Barton Advisory Group, minutes for 9/6/01 Present: Finigan (minutes), Follett, Gabridge (for Kajosalo), Hartman, Maxwell, Moulen, Siers Updates Finigan: Currently running courtesy, recall, and overdue notices manually while he and Moulen try to figure out the reason for the crash in late August of the PC running the notices. Circulation group hasn't met in two weeks (due to vacations) but will be meeting on the 10th. Reserves processing appears relatively trouble free in most units. Hartman: Processing committee is beginning to put together a list of training areas and/or needs for local processing. Also identifying appropriate contacts in 14E-210 for particular problems. Follett: Acquisitions is working on selector's training, currently scheduled for late September/early October, and finding some problems with incorrect displays. Siers: Immersed in loaders. Has thoroughly tested 3 of the 10 areas, found some problems in 4 others. Hopes to wrap up by the end of next week. Maxwell: Serials open lab will be restructured, shortened to an hour with a specific agenda. Has decided not to move forward with EDI invoicing with Martinus Nijhoff. Nijhoff has been bought by Swets Blackwell, another of our serials vendors, and all Nijhoff data will be moved to the Swets Blackwell computer system by April 2002. Will enter invoice data manually for Nijhoff for this year only. EDI invoicing with Swets Blackwell and Otto Harrassowitz will proceed as scheduled. Moulen: Has been working with permissions while David Johnson has been on vacation, setting up some new profiles. Has updated the accounts request page. Systems has ordered 100 copies of MacroExpress and SnagIt for distribution to staff. Gabridge: The course reserves module in the OPAC is ready to go live. Security and customization issues continue to plague Your Account. Problems found in the no frames version of the OPAC have been forwarded to Ex Libris; 1/3 of the files apparently still continue to use Java script. Group is trying to figure out how much staff time it will take to put up a minimally operating no-frames version, doesn't appear to be that much so the hope is it will be up soon. Patch 3 A different client is needed for installation of the test version of Patch 3; Systems staff currently are setting this up for testers. Priorities The group resumed a review of the list of items to be resolved from Sarah Shreeves' final report to Steering Committee on the 3rd Barton transition; agreed to create an order of priorities to run by Steering Committee. An immediate concern is the need for someone to take on the issues involved in the staff catalog/navigation map display. Moulen will contact key individuals to set up a task force for this. Other There was a reported need for a new call number prefix - DVD-ROM, to be distinguished from DVD. Siers will contact Stephen Skuce, who had responsibility for this process in Advance, for input on how the procedure should be set up. Maxwell announced the need for a new suppressed item status - 67 - to be set up for items withdrawn or tossed, leading to a discussion on what to do with records for withdrawn items and others no longer in the catalog. It was agreed the discussion should take place in a more relevant group like CMG. Next meeting Thursday, Sep 20, 9:30 - 11 in the Hayden conference room
